What You'll be Doing
The Receptionist is the face of Council. An integral part of the team, the incumbent is the first interaction our Licensees have when visiting our office. If you are a good communicator, have an eye for detail, and want to be part of a group committed to protecting the public, we want to hear from you.
Duties and Responsibilities
Answer all telephone calls through the switchboard; directing callers to the appropriate person or department
Answer routine status and general information calls on various topics, including how to find information on Council's website, exam scheduling, procedures, costs, etc.
Manage the general delivery voice mail messages
Maintain flow of visitors in reception and ensure they are attended to in a timely, professional, and courteous manner, including liaising with other departments when visitors require departmental assistance
Assist visitors in the completion of Council forms
Inform exam registrants of exam procedures, accept and input exam registrations, and schedule examinees for available exam dates
Accept payments and generate receipts for exam registrations, licence application fees, fines, investigative costs, and other fees
Control and balance the cash received at Reception to receipts issued, in accordance with guidelines and, where required, review and identify any discrepancies
Scan invoices and refund cheques for accounting
Provide support for special projects as required by Licensing or Regulatory Services departments
Handle other duties as assigned
Keep reception area tidy and organized and stocked with supplies
Maintain staff in-out board for emergency purposes
Provide mail room coverage as required
Understanding of Council operations and detailed knowledge of exam registration requirements in order to properly review applications for completeness and schedule examinees' for appropriate and available exam dates
2-3 years in a related customer service position, preferably in an office environment
2 year administrative diploma or equivalent
Excellent knowledge of telephone systems and etiquette and voice mail systems
Exceptional accuracy with respect to data entry and cash processing
Excellent oral and written communication skills
Good word processing skills, with a typing speed of 45 wpm
